Business Software

September 18, 2005

After reading Garrett Dimon’s excellent article on how to become a freelance web developer, I was wondering which software you use for running your every day business. So I thought it would be great if we could create a representative list of applications.

First of all let me clarify one thing — I am not talking about editors or graphic software such as TextMate, Photoshop, Illustrator etc. — that is definitely another story. What I am talking about is software you use for managing your clients, your time-billing and invoices. Well of course there are some well known pieces of software out there — iBiz, Blinkslale, Merlin and Basecamp —  but sometimes you have to dig a bit deeper for the most sparkling gems…

By the way although I’m primarily interested in software that runs on my Mac, I would also be interested in web based or Windows applications. It would be great if we could get a representative list of applications including a short description and a link to the respective web site. So if you use an application you are quite confident with, make sure you let us know.

Side Job Track — Link Free, web-based job tracking and invoicing tool. Accounts — Link Book-keeping application for OS X. Cheap.

I came across Market Circle a couple of weeks ago, however I am yet to try it.

I use Studiometry for Client and Job management. It can be used for Accounting as well, but I use a separate program for that: Tiny Books. Tiny Books is cheap and ridiculously simple. The interface is nothing to brag about whatsoever, so if that’s important to you don’t get it. I bought it a long time ago and suits my particular needs. Studiometry, however, is a wonderful tool. I’ve tried several others including StudioBoss (has the potential but the customer service stinks and it ended up running slow on my Mac — it uses the Filemaker engine) and iBiz (when it was still iBiz). I also tried creating my own using Filemaker Pro but that just became too time consuming. Even thought about some others but they were just too expensive.

I have been using iBiz for the past month or so and I am very happy with it. I tried the 10 day trial for a bit and then decided it was well worth the $20 or so. It’s been a huge help with managing multiple projects and is ideal for invoicing clients and handling the not so fun side of things. I would highly recommend it.

I’m using SideTrack Job. It’s excellent and the developer is really friendly.

I use Link exclusively for Invoicing, Project and Client management. I prefer it over BASECAMP and BLINKSALE (and it’s free!!!). It’s the best of both worlds all-in-one.

Thank you guys for your suggestions. Well I have to admit that I’m feeling really confindet with SideJobTrack, which has just been redesigned yesterday. Its sleek an intuitive web interface and its new feature to customize estimates and invoices makes it even better. I think I will also use this one for keeping track of my projects. However I am still looking for a desktop application in order to track my time. iBiz, Billings and iRratchet are quite good, but none of them really convinced me — especially because none of them really provides fully customizable templates for invoices and estimates. How do you create your invoices? Do you use one of the tools above and forgo well designed invoices or do you create them using InDesign or similar apps?

Wolfgang

Comment spam here too?! Please delete any and all comments with Side Job listed in the URL. Thank you.

I create my invoices in Pages, just made a template which I edit as needed :) and as I don’t do much work it works out quite well :)

I’m assuming you can do some fun stuff with SJT (although I’ve yet to try). I made xml based invoicing once for a class of mine. A funky orange and white invoice for the web, and a clean black and white printer friendly version. I’ll most likely take some of that and see what I can do with SJT. Cheers!

Hi, i’m very interested in such a tool, but all of this above are mac or win versions (except the webbased). Isn’t there any linux solution available? Or at least any webbased that can be downloaded? (I don’t want to do my business on any server, cause these are really sensitive information) Greets

Michael

Jennifer, I don’t want to be associated with comment spam. If someone puts the URL in a comment, that’s fine, but I don’t care for it being used as a person’s Website in the signature.

I have been using StudioCzar for the past 4 months and couldn’t be more pleased. Updated frequently and has great support. I use it for job estimates, time tracking, expenses, company contact info and invoicing. It is a fileMaker based application, so you don’t need FileMaker and runs under Mac and Windows. It is quite an incredible package. They even have a demo to download and try out. Link No, I don’t work for them or receive royalties :), I just love supporting small business. Jay

Studiometry lets you create fully customizable invoices and estimates in HTML, RTF, or whatever you prefer to use. It has a pretty simply yet powerful system where it looks through the code in a template and replaces the Studiometry specific tags with the actual data, allowing you fully customizability of what it creates. We’ve been using it for over two years and the developers are incredibly responsive and helpful.

For my time tracking I currently use TimeLog ( Link ), which has some glitches but is really usable. It has addressbook and iCal integration and some reporting features.

Jérôme

I am just now trying ibiz. Will have to see how it works out. Usually I just have a custom Illustrator invoice I update at the end of the day. My projects lately have all be on location so the time are kept in iCal if I every need to check back.

I use Marketcircle’s Daylite for all content management, project tracking, and time tracking. They’ve just come out with a new invoicing app called Billings, which is quite appealing. I learned of MarketCircle while helping a client install Daylite, and loved it so much I started using it, and even took the steps to become a consultant. Link

Invision Power is currently working on a new billing system which is looking very promising. Its called invision nexus. Here’s a link: Link It can be used for all kinds fo things! Very powerfull!

Sam Granger

I use on my iBook Dreamweaver 8 Flash 8 Photoshop CS Safari + Firefox.

Are there any invoicing tools out there (Side Job Track not included) that aren’t a subscription service? I’m looking for something that I could pay a one time fee for.

Beth

Ciao, Holger -----
